Saab, Inc., in Orlando, FL, due to a new contract win, has a career opportunity for a dynamic, self-motivated, organized individual who possesses strong administrative and clerical skills as a Program Coordinator to serve in support of the Training and Simulation Business Area. You will be joining a dynamic team supporting United States Marine Corps and US Army training with a focus on the Live Training Domain.
- Program Coordination
Responsible for providing administrative support leading to the successful planning and completion of Saab, Inc. Training and Simulation programs. Primarily performs administrative duties for the individuals in a Program team to ensure the quality and timeliness of program objectives and deliverables.
Assists with program management by providing administrative and support services for existing programs with customers. Assist in the development of costs and the submission of contract change proposals as assigned.
Assist with material cost management and forecasting, including the submission of material requests to purchasing as necessary; payment and reconciliation of vendor and subcontractor invoices; assistance with program schedule development and maintenance; assistance with collecting and reporting project status items.
Assist in the preparation of delivery requests for documentation and software deliveries to both customers and internal teams as necessary. May participate in program/design reviews.
- May be assigned to various functional areas or programs across the company including Administrative Support, Human Resources, Contracts, Security, Publications Support, Reception, and other duties as assigned;
- Administrative Support
Provides administrative and clerical support to relieve department managers or staff of administrative details. Requires flexibility, excellent interpersonal skills and project coordination experience.
Effectively communicates with all levels of internal management and staff as well as outside clients and vendors. Familiar with military protocol.
Contacts company personnel at all organizational levels to gather information to prepare and edit documents including memos, emails, reports and instructional documents.
Work is generally of a critical or confidential nature. Progression may require specialization in a functional area or program based on assignment;
Primarily receives and directs visitors, employment applicants, salespersons and customers to appropriate locations and parties. Typically operates a single position telephone system.
Maintains a visitors’ log and issues badges when necessary. Notifies personnel of visitor arrival.
Performs clerical work such as word processing. Will use company intranet and other computer-based systems. Additional duties may include sorting, creating and maintaining filing systems, both electronic and physical, mail distribution and completing special clerical projects.
Coordinates snacks and working lunches to include purchasing and filing for reimbursement, acquires office supplies and ensures inventory levels are maintained at appropriate levels.
Skills and Experience:
Bachelor’s degree in business administration or a related field
3+ years of relevant experience in defense contracting, preferably in training
Expertise in Microsoft Office Suite including MS Word, Outlook, PowerPoint, Excel, and SharePoint
Close attention to detail and the ability to plan ahead
Ability to work under pressure
Administrative and clerical skills
Interpersonal skills, including excellent written and verbal communication
Able to lift medium-weight items (up to 60 lbs)
Must be fully vaccinated for COVID-19 by the date of employment
5-10% of time may include travel, both Domestic and International
Ability to gain and maintain a Secret clearance is desired
