Your role

We are looking for an Assistant to support two Heads of Department—Group Government Affairs and Group Strategy. Formally based within Group Government Affairs, you’ll work across both teams and be closely involved in strategic and operational matters. This is a unique opportunity to support senior leaders while contributing to the wider team’s work.

This is a central and multifaceted role where coordination, presentation support, event planning, and administrative and financial tasks all come together. You’ll also be responsible for managing the department’s collaborative tools—such as SharePoint—to ensure smooth information flow, transparency, and a shared sense of direction within the team.

In many ways, you’ll be the hub of the department’s daily operations. Whether it’s preparing materials, managing calendars, or planning internal events and meetings, you’ll play a key part in making sure both leadership and colleagues have what they need to stay focused, aligned, and effective. This is a role for someone who thrives in a dynamic environment where collaboration, structure, and communication go hand in hand.

Main Responsibilities:

  • Serve as Assistant to the Head of Government Affairs and the Head of Strategy, providing high-level administrative support such as calendar management, meeting coordination, travel arrangements, and internal and external communications.
  • Support the wider team by acting as a point of contact for routines, tools, and internal processes, ensuring consistency and clarity in day-to-day operations.
  • Prepare presentation materials and PowerPoint slides to support both internal and external communication.
  • Plan and organise internal meetings, workshops, and conferences, including preparing materials, booking venues, and ensuring a smooth experience for all participants.
  • Coordinate events from end to end – from early planning to on-site support – including booking travel and accommodation, handling itineraries, managing guest speakers, and ensuring all logistics run smoothly.
  • Manage financial administration using systems such as Agresso, including processing invoices and handling travel expenses.
  • Maintain and manage the department’s collaborative platforms (e.g. SharePoint), supporting knowledge sharing and internal communication.
  • Ensure compliance with administrative procedures and contribute to improving internal ways of working.
  • Liaise with internal and external stakeholders in a professional and service-minded manner, contributing to a positive and reliable working environment.

The position is based in Stockholm at Saab’s Head Office.

Requirements:

  • Previous experience in an assistant, business support, or administrative role within a corporate environment.
  • Strong skills in calendar management, event coordination, travel planning, and documentation, combined with excellent proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Teams, SharePoint).
  • Experience in budget and expense management, experience with Agresso or similar financial systems is a plus.
  • Experience coordinating event logistics, including venue selection, catering, speaker management, and attendee communication.
  • Fluency in both Swedish and English, both written and spoken, is required.

This position requires that you pass a security vetting based on the current regulations around/of security protection. For positions requiring security clearance additional obligations on citizenship may apply.
