BID COORDINATOR
The role
The Bid Coordinator plays an important role in supporting the end-to-end bid process for strategic pursuits across the defence sector. This position works closely with Bid Managers, subject matter experts, and cross-functional teams to coordinate high-quality, compliant, and compelling responses to Expressions of Interest (EOIs), Invitations to Respond (ITRs), Requests for Quotation (RFQs), and Requests for Tender (RFTs).
The role supports the development of winning bids by maintaining bid schedules, managing collaboration platforms, preparing professional submissions, and ensuring consistency with corporate brand and governance standards.
Further, the successful candidate will:
- Provide bid coordination services as requested by the Business Domains, including receipt of tender materials, coordination of deliverables, template management, configuration control, and author support.
- Assist the Bid Manager(s) with bid planning, scheduling, launch preparation, and submission activities.
- Support internal review processes and ensure timely completion of deliverables across multiple stakeholders.
- Coordinate the development of content and structure for submissions, ensuring clarity, consistency, and compliance with client requirements.
- Liaise with technical, operational, legal, and commercial teams to gather and refine input.
- Maintain a centralised bid content library including CVs, case studies, project profiles, and style guides.
- Develop and manage templates, tools, and exemplar deliverables to streamline future submissions.
- Ensure alignment with corporate branding, graphics standards, and messaging in collaboration with corporate communication and marketing teams.
- Ensure all bid activities comply with legal, client-specific, and internal governance requirements.
- Contribute to post-bid reviews and document lessons learned.
- Share bid best practices across the business and champion process improvements.
About you
Your skills and experience will include:
Essential:
- Prior experience in bid coordination, proposal writing, or similar roles within the defence, engineering, or professional services sectors.
- Strong written and verbal communication, editing, and document formatting skills.
- Ability to manage multiple deadlines and coordinate complex stakeholder input under pressure.
- Proficiency in Microsoft Office Suite, SharePoint, and collaboration platforms.
- Strong attention to detail, time management, and organisational skills.
Desirable:
- Experience with defence tendering processes and Australian Government procurement frameworks
- Experience in the Shipley’s or similar Winning Business process.
- Qualifications in Business, Project Management, Communications, or a related discipline.
- APMP certification or equivalent.
A defence security clearance is required for this role, applicants will be required to hold an Australian Defence Security Clearance to NV1/NV2 level. Information including past and present nationality and citizenship may be requested to check eligibility for access to materials controlled under various export control regimes, including ITAR.
This position has a requirement to undertake interstate travel if needed
