BUSINESS SUPPORT OFFICER

The role

The Business Support Officer will provide effective administrative support to Saab’s business units with a focus on Reception. As a member of the Business Support team, the Business Support Officer will also be required to work collaboratively with other Business Support Officers and Department Coordinators to ensure the provision of effective administrative support across all business units. The Business Support Officer will also be required to work closely with the Security Operations and Facilities teams to maintain the integrity of Saab’s facilities.

Further, the successful candidate will:

  • Manage Reception area and assist the business to ensure that only authorised individuals are present in the office premises.
  • Act as first point of contact for various internal and external queries (in-person, via phone & email).
  • Report security incidents, breaches and task outcomes to Business Support Leadership team.
  • Effectively and efficiently fulfill service requests ensuring high levels of customer satisfaction (internal) and answer employee queries and guide them to relevant POC, Confluence Wiki, or intranet page.
  • Process uniform and PPE orders and employee exits
  • Manage various scheduling and invoicing of Employee Services and other staff gifts.
  • Work in collaboration with other Department Coordinators and Business Support Officers to provide administrative support across all business units.
  • Manage confidential and sensitive documentation/information with appropriate discretion.
  • Provide escort assistance for visitors and/or contractors attending site
  • Monitor and maintain company stationery supplies.
  • Generate purchase requisitions using IFS software.
  • Maintain intranet pages and SharePoint.

About you

Your skills and experience will include:

  • Ability to adapt to changing priorities, tasks and requirements (essential).
  • Ability to work with minimal supervision.
  • Knowledge of administrative practices and procedures for maintaining quality and efficient administrative support (essential).
  • Strong internal and external customer ensuring high levels of customer satisfaction (essential).
  • Highly developed organisational and time management skills including the ability to develop and maintain comprehensive administrative systems of work (essential)
  • The ability to work under pressure, including the ability to make judgements about competing priorities to meet deadlines (essential).
  • Demonstrated high-level proficiency in using the Microsoft Office suite of products including Outlook.Excel, Word and PowerPoint (essential).
  • Ability to manage and coordinate a range of tasks with limited supervision (essential).
  • Ability to work under pressure to tight deadlines while maintaining attention to detail
  • Ability to work co-operatively within a team environment and to build rapport with people from all levels of both the company and from the Defence environment
  • Excellent demonstrated MS Office experience, including Word, Excel, Outlook and PowerPoint.
  • Demonstrated knowledge of internet and intranet and overall high level of IT user skills

This is a 2-year Fixed Term Full time role.

As a defence security clearance is required for this role, applicants will be required to hold an Australian Defence Security Clearance or have the ability to gain one.
