Your Role
We are looking for a highly motivated and structured Program Administrator to join our team and support one of our most important international programs, Gripen Brazil.
In this role, you will work closely with Contract Managers and Program Managers, providing administrative and coordination support to ensure efficient program execution and contract management. You will play a key role in maintaining structure, supporting decision-making, and ensuring that program activities are delivered according to plan and customer expectations.
Your responsibilities will include:
- Supporting contract and program management activities throughout the program lifecycle.
- Ensuring that program processes, documentation, and deliverables are structured, accurate, and value-driven.
- Coordinating and following up on activities together with the program team and key stakeholders.
- Maintaining records, documentation, reports, and other program-related information.
- Assisting in contract planning, execution, delivery, and evaluation activities.
- Preparing meeting material, tracking actions, and supporting communication across the organization.
- Providing general administrative support to Contract Managers and the wider program team.

Your Profile
We are looking for someone who is proactive, detail-oriented, and enjoys working in a dynamic and collaborative environment. You have a strong sense of structure, excellent organizational skills, and the ability to manage multiple tasks simultaneously while maintaining a high level of accuracy.
To succeed in this role, we believe that you:
- Have experience in administration, project support, contract support, or a similar coordination role.
- Possess strong business acumen and understand the importance of delivering high-quality support to internal and external stakeholders.
- Are flexible, service-minded, and comfortable working in a fast-paced environment.
- Have excellent communication and interpersonal skills and enjoy building relationships across different functions and cultures.
- Are highly organized and capable of prioritizing and managing your workload effectively.
- Have strong skills in documentation, planning, and follow-up.
We also see it as beneficial if you have:
- A legal educational background or experience working with contracts and legal documentation.
- Experience working in an international organization or program environment.
Language requirements:
- Fluent in English, and Portuguese, both written and spoken.
This position requires that you pass a security vetting based on the current regulations around/of security protection. For positions requiring security clearance additional obligations on citizenship may apply.
