OFFICE MANAGER

The role

The Office Manager is responsible for ensuring the efficient and effective operation of Saab’s WA Office in collaboration with a variety of internal and external stakeholders. You will Act as the first point of contact for queries relating to the management of maintenance and operational issues at the Saab Office.

Further, the successful candidate will:

Facilities

  • Coordinate maintenance services for the Saab Office in collaboration with Saab Australia’s Facilities Team and in accordance with the National Facilities Framework
  • Undertake on-site inductions with visitors, contractors and new staff and performs escort duties as required
  • Purchase required items for the WA office (staff amenities, cleaning products, stationery etc.); and
  • Provide occasional out of hours support.

Safety

  • Provide exemplar leadership in the WHS domain by demonstrating the required behaviors and values outlined in the WHS Safety Charter.
  • Assist the WHS Coordinator in implementing effective WHS hazard management.
  • Liaise with the WHS Coordinator to provide a safe working environment for all staff, visitors and contractors including ensuring regular fire drills are conducted and first aid kits are stocked.

Office Management

  • Adhere to established administrative procedures and update the WA Office procedures as required.
  • Perform and oversee all aspects of the front desk such as reception, visitor registration and inwards goods of office supplies.
  • Reconcile monthly corporate credit card statements
  • Provide input into the Western Australia budget and forecasts
  • Assist with event management for staff social events and on site official/VIP events
  • Liaise with internal Functions to ensure the smooth operation of the WA office

Key Responsibilities

  • Provide recommendations on ways to improve systems and work practices.
  • Undertake the role of Facility Security Contact for the WA Office
  • Undertake ad hoc requests associated with office management such as staff briefings and events, awards co-ordination, office notices, storage etc
  • Perform other duties as assigned by the Regional Manager – Western Australia; and
  • Comply with legislation and Company policies, processes and instructions, including those relating to non-discrimination, safety and duty of care and the quality management system.

Flexible work arrangements such as occasional work from home / office and/or working in school hours and finishing at home will be considered for this role.

About you

Your skills and experience will include:

  • Experience managing a small to medium sized office.
  • Knowledge of administrative practices and procedures for maintaining quality and efficient administrative support.
  • Highly developed organizational and time management skill including the ability to develop and maintain comprehensive administrative systems to manage information flow.
  • The ability to work under pressure, including the ability to make judgments about competing priorities, initiate independent action as necessary, give close attention to detail and be flexible.
  • Demonstrated high level of skill/experience in the use of Microsoft Office suite of products including Outlook. Excel, Word, Visio and PowerPoint.
  • Demonstrated excellent time management skills and prioritization of task
  • Experience in defense or large complex organization would be preferred
  • Problem solver and someone who can work with limited direction

As a defence security clearance is required for this role, applicants will be required to hold an Australian Citizenship and Defence Security Clearance NV1/NV2 level. if role has ITAR requirement] Information including past and present nationality and citizenship may be requested to check eligibility for access to materials controlled under various export control regimes, including ITAR.
