We are looking for Packing and Dispatch Coordinator to oversee the final stages of shipping goods, managing the packaging process to ensure products are securely, accurately, and efficiently prepared for shipment before they get to Customers (Internal or External) and Warehouse.
A Packing and Dispatch Coordinator will be assigned to a specific area, retrieve items needed from inventory, inspect that they are stored in good condition, and pack them for shipping.
The role will be reporting to Deputy VP Supply Chain Management & Executive Manager: Warehouse.
Your role:
Order Processing & Coordination
Monitor and process customer orders on daily basis.
Verify customer orders for accuracy with respect to quantity, delivery location and documentation.
Coordinate with internal customers for shipment picking, dispatch schedules, and inventory verification.
Act as a single point of coordination between the Project Office, Warehouse, and Manufacturing Operations.
Dispatch Planning & Execution
Prepare daily dispatch plans based on order priority, customer commitments, and inventory availability.
Coordinate with warehouse and Quality Assurance teams to ensure timely and accurate dispatch execution.
Track dispatch progress on daily basis and follow up to ensure on-time deliveries.
Resolve dispatch related challenges and escalations efficiently.
Inventory Management & Control
Monitor inventory levels across all Finished Goods bin locations.
Plan and execute internal inventory transfers between locations and customers as required.
Ensure inventory accuracy through regular coordination and verification with warehouse team.
Identify inventory risks and proactively highlight shortages or excess stock to stakeholders.
Coordination with Production Planning
Share inventory status with the production planning team.
Coordinate with Project Office Production Planning to ensure adequate Finished Goods (FG) availability as per customer demand.
MIS & Reporting
Maintain daily MIS related to orders, dispatches, inventory movements, and pending deliveries.
Ensure adherence to company processes, SOP’s, and dispatch timelines.
Support continuous improvement initiatives related to order fulfilment, dispatch, and inventory control.
Resolve order fulfilment, inventory, and dispatch-related issues in a timely and professional manner.
Warehouse Management Functions
Inventory Management – Ensure efficient packing, handling and storing of goods.
Inventory System Maintenance – Correct management of the inventory system.
Kitting – To kit goods as per Kit lists.
Quality - Ensure that all kitted items are of good quality standard.
Quantity – Ensure that correct quantities are picking in accordance with the pick list.
Loading of Goods – Ensure that all goods are loaded and offloaded in a safe manner and that all paperwork corresponds with to the delivery specifications.
Packing, handling and storage – Ensure that efficient packing, handling and storage of goods as per specifications.
Receiving – Ensure all components, items / equipment is delivered and are accurately received.
Unplanned requisitions – Accurate and timeous handling of unplanned requisitions.
Raising NCR when non-conforming parts are discovered and following up with the NCR process.
5’s – Ensure that 5’s is maintained in the work environment
Ensure maximum utilization of storage space adhering to quality and safety standards
Carry out all legal instructions from your line management as all duties and responsibilities are not limited to the above
