PEOPLE & CULTURE COORDINATOR
The role
The People & Culture Coordinator provides essential administration and coordination support to the People & Culture team. This role focuses on maintaining efficient P&C operations, managing documentation, and supporting various administrative processes to enhance the employee experience and ensure compliance with company policies. Professional and efficient administration support to the People & Culture team and broader business will be underpinned by maintaining a high level of confidentiality, integrity and discretion at all times
This role may either be assigned solely to a P&C portfolio or work across multiple, undertaking the following accountabilities as relevant to the tasks specific to the assignment:
Administrative Support:
- Provide general administrative assistance to the P&C team, including scheduling meetings, monitoring shared mailboxes and ticket systems including allocation of tasks, and coordinating daily operations within the portfolio.
- Establish, review and improve administrative processes, to optimise efficiency and use of systems.
- Generate employment related letters throughout the employee lifecycle, ensuring governance is adhered to, approvals received, and all documentation saved in personal files.
- Maintain and update employee records, P&C databases, Company Resource Handbook, and the HRIS (Workday) to ensure accuracy and completeness.
- Regularly review and update the P&C intranet page with approved content.
- Liaise with colleagues in Sweden regarding the maintenance and updates to the HRIS.
- Provide administrative and coordination support with P&C projects, as assigned.
Reporting & Record-Keeping:
- Generate and distribute regular P&C reports, including metrics on employee data and P&C activities, and some analysis and insights, as required.
- Maintain accurate and organised records of P&C activities and employee information.
Compliance & Process Support:
- Assist with the coordination and execution of P&C processes, across the employee lifecycle (ie recruitment, on-boarding, annual salary review, off-boarding).
- Help ensure adherence to legal and regulatory requirements by supporting compliance activities and audits.
- Assist in updating and communicating company policies and procedures.
- Provide first level advice and guidance on P&C policies and processes or assign to the right person.
Event Coordination:
- Support the planning and execution of P&C related events and training sessions.
- Assist in organising employee engagement activities and other administrative functions.
This is a Fixed Term 12 months Full time contract with 5 days in the office during office hours.
About you
Your skills and experience will include:
- Experience in a similar role working with excel spreadsheets, multiple systems and highly confidential data.
- Strong verbal, and written communication skills, including an ability to establish effective and professional working relationships with a wide variety of stakeholders
- Excellent excel skills, ability to merge data, create calculations, analyse multiple files and develop insights
- Computer literacy across MS Office applications, and professional document creation and editing skills with a strong attention to detail.
- Ability to deal appropriately with sensitive information and maintain strict confidentiality and strong integrity at all times.
- Experience using a HRIS, preferably Workday or similar.
- Demonstrated ability to plan and organise competing work demands and to operate efficiently under pressure and manage competing priorities to produce timely, high-quality responses, maintain attention to detail and meet deadlines.
- Qualifications in Business Administration, or relevant experience
As a defence security clearance is required for this role, applicants will be required to hold an Australian Defence Security Clearance to baseline/NV1/NV2 level or have the ability to gain one Information including past and present nationality and citizenship may be requested to check eligibility for access to materials controlled under various export control regimes, including ITAR.
