SUBCONTRACT ADMINISTRATOR
The role
The Subcontract Administrator is a member of the Supply Chain Team to assist the Sr. Subcontracts Manager and Head of Supply Chain through successful management of Contracts administration activities in a timely and efficient manner.
The incumbent is expected to be an active member of the Supply Chain Team and will support the Senior Subcontracts Manger in delivery of the service.
Further, the successful candidate will:
- Prepare, review, negotiate, and administer subcontracts and contract variations in accordance with project requirements, company policies, delegations and procurement frameworks.
- Undertake contract administration activities including, but not limited to processing escalation claims, extensions of time requests.
- Processing progress payment claims in a timely manner, issuing formal instructions and notices to Suppliers and other ad hoc activities.
- Manage contract renewals and extensions in accordance with the Contract provisions.
- Manage close-out activities to ensure continuity of contractual arrangements post project completion (survival obligations).
- Assist in the processing and record keeping of non-disclosure agreements
- Manage RFQ/Ps: obtain quotes, assess submissions and make recommendations on engagement of Subcontractors on minor bids.
- Assist with contractual correspondence, in liaison with legal counsel, to support informed decision-making and project delivery.
- Identify, assess, and monitor contractual risks and provide recommendations to minimise potential commercial and contractual exposure.
- Manage and maintain accurate contract documentation, correspondence, records, document registers and contractual compliance requirements
- Monitor contractor performance and oversee, reporting on subcontractor performance, progress, variations, subcontractor costs vs budget, and project outcomes.
- Liaise with consultants, subcontractors, suppliers, and other project stakeholders to support contract negotiations and facilitate the successful delivery of projects and support services.
- Work closely with the procurement and QA teams on Supplier onboarding and renewals.
Flexible work arrangements such as hybrid work from home / office, 9 days will be considered for this role post probation and subject to approval.
This role is a Full-time Fixed Term contract for 2 years.
About you
Your skills and experience will include:
- 5+ Years’ experience in a Contract or Project Administrator role supporting the delivery of complex projects of variable sizes.
- Sound understanding of construction contract administration, variation management, extension of time requests, payment claims, cost control, risk management principles and exposure to key contract law terms.
- Strong analytical, organisational and problem-solving abilities with a high level of attention to detail, communication and interpersonal skills, effective relationship management with a range of stakeholders.
- Demonstrated experience managing and negotiating issues related to subcontractors and complex procurement.
- A detailed working knowledge of supplies acceptance and claims processes ie. Milestones, progress claims
- Experience in administration of ASDEFCON and/or government related contracts, with exposure to Security and Export Control requirements.
- A working knowledge of Security of Payments legislation.
- Exemplary organisational skills with ability to prioritise tasks and meet deadlines.
- Proficiency in Microsoft Office suite of products, particularly expert user of Word, Excel and PowerPoint.
- High level literacy and numeracy skills.
- Relevant Diploma or Qualifications in commerce, construction management, supply chain, CIPS, business or a related field (or working towards)
Applicants must be Australian citizens and hold or be able to obtain an Australian Defence Security Clearance to baseline/NV1/NV2 level Information including past and present nationality and citizenship may be requested to check eligibility for access to materials controlled under various export control regimes, including ITAR.
