Your role
As an Assistant in the Training Services department, you play a key role in ensuring smooth daily operations through coordination, prioritization, and structure. Your main focus is supporting the manager and the wider organization with various administrative and organizational tasks. You’ll provide assistance to all TS managers and collaborate with other assistants as needed and act as the point of contact for administrative personnel within TS programs.
Examples of your responsibilities include:
Managing travel arrangements, expense claims, and approvals
Handling authorizations in systems such as IFS, Agresso, and Hansa
Administering SharePoint and maintaining department documents and presentations
Preparing and coordinating meetings, events and visits, including room bookings, invitations, agendas, and follow-ups on action and risk lists
Managing internal and external correspondence
Compiling and analyzing materials for reports
Coordinating simple purchases such as office supplies, refreshments, and gifts
Supporting onboarding for new employees
Supporting staff with the onboarding of new digital tools
Assisting with yearly recurring activities
You will be part of a close-knit team of seven assistants, collaborating to share best practices and provide mutual support. The role also involves occasional international travel and offers the opportunity to contribute across multiple areas within the TS programs, supporting managers and fellow assistants alike.

We are looking for someone who approaches their work with a positive attitude and strong integrity. You’re self-driven and proactive, taking initiative to keep things moving forward independently. You feel comfortable with administrative tasks and understand their importance in supporting the team. Flexibility and a willingness to adapt is important, as your responsibilities will evolve with the organization’s needs.
To succeed in this role, you should have at least an upper secondary education along with relevant prior work experience. You have good knowledge of Microsoft Office and feel at ease navigating digital environments. You’re curious about new tools and open to learning smarter, more efficient ways of working.
Since a lot of our communication is in English, it’s important that you feel comfortable using the language in both spoken and written communication.
This position requires that you pass a security vetting based on the current regulations around/of security protection. For positions requiring security clearance additional obligations on citizenship may apply.
