Job Description:

Saab, Inc. is seeking a dynamic, results-oriented individual as an Administrative Support Specialist/ Receptionist for our Cranston, RI or Quincy, MA office.  As the first line of communication, you will be responsible for creating a professional and welcoming environment for international and domestic customers, vendors, visitors and employees. You must demonstrate a poised and professional demeanor with a positive attitude, excellent communication skills and professional appearance.

Responsibilities Include:

  • Greet visitors at the Saab office

  • Maintain visitor log and distribute badges with a high level of accuracy

  • Provide professional phone coverage at all times; screen all calls and determine through independent judgment those which require immediate attention

  • Overall management of busy calendars

  • Coordination and scheduling of meetings

  • Process and track expense reimbursements

  • Maintaining and updating contacts lists

  • Inventory and ordering of Office Supplies

  • Provide backup support to other Assistants as needed

  • Assist with additional projects and other duties as required

  • Punctual, regular, and consistent attendance

  • Punctual, regular, and consistent attendance Foreign Travel processing

  • Printing ID cards

  • Classified Visit processing

  • Daily PO Box checks (classified mail pickup)

  • Personal Security Clearance processing (initiating investigations/re-investigations)

  • Classified material packaging and mailing

Compensation Range: $24.13-$28.37

The compensation range provided is a general guideline. When extending an offer, Saab, Inc. considers factors including (but not limited to) the role and associated responsibilities, location, and market and business considerations, as well as the candidate's work experience, key skills, and education/training.

Skills and Experience:

  • High School Diploma, or equivalent

  • 3+ years of experience in an administrative support role.

  • Proficiency in e-mail, Microsoft Office Suite and other computer-based systems (i.e. Oracle)

  • Self-starter and self-directed with the ability to think creatively for efficiency and process improvement

  • Ability to multi-task, balancing a number of tasks efficiently

  • Excellent customer service skills with positive and helpful demeanor

  • Exceptional verbal and written communication skills while knowing your audience

  • Punctuality and dependability

  • Excellent teamwork skills

  • Organizational skills and project coordination experience with attention to detail

Citizenship Requirements:

Must be a U.S. citizen. Applicants selected may be subject to a government security investigation and must meet eligibility requirements for access to classified information.
