BUSINESS SUPPORT TEAM LEAD
The role
The Business Support Team Lead will provide effective leadership to the Business Support Team members allocated to the Defence Delivery portfolio. This role will also provide administrative support to the Executive Leadership team, including backup for the Executive Assistant
Further, the successful candidate will
- Supervise and manage the workflow of Business Support Team along with providing support and Training
- Allocate resources to ensure effective administration support across the business.
- Maintain electronic and hardcopy systems and procedures.
- Authorisation of purchase orders and invoices.
- Provide operational support to allocated ELT and SLT members, including arranging internal and external meetings, calendar management and other support as required.
- Participate in strategic projects in support of the Administration function
- Document preparation; drafting editing, formatting, proof reading and final collation
- Inventory control and ordering for collateral/merchandise/uniforms
- Event and function coordination and management including but not limited to facility tour programs, dinners, seminars, workshops, team lunches and reward and recognition events.
- Arrange catering, rooms and resources for meetings and functions
- Provide input to the Administration budget and forecasts.
- Manage designated company intranet web pages
- Provide various administration support such as but not limited to resource planning tool, distribution list management and seating plans
- Relief for Executive Assistant absences to support the Executive Leadership Team as required
This position is a Fixed time Permanent 12 months Contract
About you
Your skills and experience will include:
- 5+ years administrative experience or equivalent
- Experience in Leadership and managing Teams
- Executive support experience (desirable)
- Confident in conversing with all levels in the business
- Demonstrated high level of skills/experience using MS Office in particular Excel, PowerPoint and Outlook
- Sound knowledge of office practices and procedures as well as a high level of competence in organisational and administrative tasks
- Experience working within an engineering environment (desirable)
- Understanding of/experience in use of document control/version control (desirable)
- Appropriate level or relevant secretarial/administration experience where maturity of judgment and discretion are required (desirable)
- Certificate IV Business Administration or equivalent experience
As a defence security clearance is required for this role, applicants will be required to hold an Australian Defence Security Clearance NV1/NV2 level or have the ability to gain one. Information including past and present nationality and citizenship may be requested to check eligibility for access to materials controlled under various export control regimes, including ITAR.
